This policy explains what personal data Ronin Digital collects when you contact us, why we collect it, how long we keep it, and the rights you have over it. Ronin Digital is a digital marketing agency based in Johor Bahru, Malaysia.

What data we collect

The only personal data we actively collect is what you choose to enter into our contact form. That is:

• Your name
• Your email address
• Your business or website (optional)
• The message you send us

We do not run analytics that build a personal profile of you, and we do not buy personal data about you from third parties.

Why we collect it

We use the data you submit for one purpose: to respond to your enquiry and, if we go on to work together, to provide and manage the services you ask for. We do not use your contact-form data for unrelated marketing, and we will not add you to a mailing list off the back of an enquiry.

Lawful basis

We process your personal data on the basis of your consent. You give that consent when you fill in and submit the contact form. You can withdraw it at any time (see Your rights below).

We do not sell your data

Ronin Digital does not sell, rent, or trade your personal data to anyone, for any purpose. Full stop.

Third parties who process your data

To run the contact form and reply to you, your data passes through a small number of service providers acting on our behalf (data processors). We use only what is needed to deliver the service, and we do not give these providers permission to use your data for their own purposes.

• Form processor: the service that receives and relays your contact-form submission to us. To be confirmed and named here before the form goes live.
• Email: we receive and reply to your enquiry by email.

How long we keep it

We keep enquiry data only as long as we need it. As a default, we retain contact-form submissions for up to 24 months from your last contact with us, after which we delete them, unless we are in an active working relationship or are required to keep records for legal or tax reasons. You can ask us to delete your data sooner.

Your rights

Under the PDPA, you have the right to:

• Access the personal data we hold about you.
• Correct any data that is inaccurate or out of date.
• Withdraw consent and ask us to stop processing or to delete your data.

Data security

We take reasonable steps to protect your data against loss, misuse, and unauthorised access. No method of transmission over the internet is perfectly secure, but we keep access to your data limited to what is needed to reply to you and serve you.

Changes to this policy

We may update this policy from time to time. When we do, we will change the "Last updated" date at the top of this page. Material changes will be made clear.
